Position Title: Administrative Assistant
Reports to: Director of Operations
FLSA Status: Non-Exempt
In this role, the individual is primarily responsible for welcoming visitors into the Burlington office, and answering and forwarding calls appropriately through our multi-line agency phone system. The role provides support to Account Managers and Client Advisors to new and existing accounts by printing and assembling proposal material, mailing insurance documents and helping to coordinate specific internal office operations.
Candidates for this role should have a High School Diploma or recognized equivalent and a minimum of 2 years in administrative assistant roles. Individuals should have proficient computing skills, Microsoft Office, and phone systems. Excellent communication and customer service skills are a must and enjoys interaction with team members, maintaining professional and positive attitude.
The ideal candidate is self-motivated and pays close attention to detail while prioritizing duties. The ability to quickly learn software and new technological systems is preferred.
•Welcomes visitors and determines their needs – directs them to appropriate person or office
•Answers multi-line agency phone system and forwards calls to the appropriate agent or contact.
•Opens, sorts, and distributes incoming mail and processes the outgoing mail on a daily basis
•Orders and puts away office supplies
•Provides support to Account Managers and Client advisors by properly attaching documents to the Agency Management System, assembling proposal documents, printing and mailing Auto ID Cards and other necessary documentation.
•Provides backup and support to other areas as assigned and assists in other special projects upon management’s request.
